• You want the lower per-seat price and a free tier you can actually work in — $10/member/month for Plus against Tana Pro at $20/user/month, and a free plan that stays unlimited for a single user instead of metering meetings and AI queries.
• You need compliance now rather than later: SAML SSO arrives at Business, with SCIM, audit logs, and DLP/SIEM integrations on Enterprise, while Tana still lists SOC 2 and HIPAA as estimated for Q3 2026.
• Your workspace is the deliverable. Nested docs, wikis, and relational databases model CRMs, roadmaps, and content pipelines, and the autonomous Agent works across that content rather than around a meeting.

When to pick Tana

• Meetings are where your work actually happens. Tana hosts native video calls with AI agents participating in the call, and from Pro it captures Zoom, Microsoft Teams, and Google Meet sessions without sending a bot into the room — Notion has nothing equivalent at any tier.
• You want a graph rather than a page tree: docs, projects, tasks, decisions, contacts, and meetings link to each other, and agents plus skills are defined in plain description text instead of code.
• You want agent plumbing out of the box — full MCP support with prebuilt GitHub, Linear, Slack, Jira, HubSpot, Outlook, and Google Calendar integrations, plus model choice across Anthropic, Google, and OpenAI.

Bottom line

Notion is the safer default and the cheaper one: half the per-seat cost, a free tier that supports real solo work, shipped compliance controls, and a single product that has not been split. Tana is a narrower bet with a sharper edge — if the value you want is an agent sitting inside the meeting and writing the docs, issues, and CRM updates while people are still talking, Notion cannot match it, and Tana’s Pro tier costs the same $20 as Notion Business. Two caveats matter before committing: the $20 Pro rate is explicitly early-bird against a $30 standing annual price, so renewal cost is uncertain, and the 2026 pivot moved the supertag outliner many long-time users bought into a separate Tana Outliner product that one subscription does not cover. Both ship web, desktop, and mobile apps, both expose a public API, and both allow full data export.
